Open Gates Group is a family of companies consisting of Kalona Farms, Kalona Creamery, Farmers Creamery (the makers of Kalona SuperNatural), ARTI, Awesome Logistics, Provision Ingredients, and Frytown Properties. Our dairy products are minimally processed and come straight from Midwest family farms surrounding our creamery. 

We are currently seeking a Customer Specialist to join our team!

The Customer Specialist provides front-line customer service and support to Open Gates entities. This person is responsible for accurate and timely processing of orders; for ensuring that all individuals who phone or visit our facility receive prompt and courteous assistance; and for providing a wide range of support service to the Sales & Marketing and Admin teams.

Duties & Responsibilities

Manages and completes the order entry process for Kalona Organics, Kalona Direct, and Kalona Creamery, including communicating and resolving problems with production, warehouse, and customers as needed.

Coordinates the process for customer holiday order scheduling across all OG departments.

Provides first level customer support in response to incoming phone, email, and Frytown visitor inquiries. This involves promptly buzzing in everyone who comes to the front door, including OG employees; asking visitors to sign in while determining and contacting the OG employee they are here to see; assisting coworkers and visitors with loading, carrying, and delivering items as needed; and researching and responding to all routine inquiries, requests, and concerns regarding products, customer service issues, and general company inquiries.

Responds to and resolves quality complaints from consumers, retailers and distributors. 

Compiles quality complaint data, creates quality data reports, and shares with manufacturers and sales team as directed.

Troubleshoots and responds to customer and team member requests in a professional, efficient, and effective manner.

Runs, verifies, and shares weekly reports as assigned.

Assists the accounting team with credit reimbursements and other duties.

Manages the Frytown training room in a proactive manner, i.e. stocking supplies, coordinating presenter needs, completing room setup, and providing oversight of the training room.

Maintains the employee cooler by keeping it clean and well-stocked and collaborates with the warehouse team to accomplish this.

Provides support to the Admin and Sales & Marketing teams as needed, including  the creation and maintenance of documents in Google Sheets and Slides.

Assists with maintaining office supplies as needed.Fulfills sample requests as directed. 

Maintains a thorough understanding of Open Gates businesses, products, and services.

Provides assistance with projects as assigned.

Requirements

  • High school diploma or equivalent.
  • Bachelor’s degree preferred.
  • Previous experience working in customer service or a business environment preferred.
  • Efficient and accurate data entry skills.
  • Knowledge of Quickbooks and Google Drive preferred.
  • Demonstrated attention to detail.
  • Strong customer service skills with professional telephone and email etiquette.
  • Ability and willingness to adhere to the Open Gates Guiding Principles.
  • Excellent interpersonal skills (listening, questioning, conflict resolution).
  • Ability to solve problems and work independently with minimal direction.
  • Ability to work in a fast paced environment, multi-task, and work under deadlines.
  • Team-oriented with a focus on working in a collaborative environment.
  • Willingness to continually embrace personal and professional development.
  • Ability to pass pre-employment customer service and skills assessments.
